Job Synopsis

The Global Service Learning (GSL) Program Administrative Assistant provides primary administrative support to the IVEP and YAMEN Coordinator as well as some duties for the SALT Coordinator and GSL Director. The duties performed by the incumbent help coordinators meet the goals and objectives of their programs and assist them in day-to-day details of their role. A significant part of this job involves arranging travel logistics for SALT, IVEP and YAMEN participants. These are all yearly programs that place young adults in service assignments around the world.

Legal eligibility to be employed in the U.S. is required.
High school diploma plus 1-3 years of related experience OR an equivalent mix of education and experience.
Excellent written, oral and interpersonal communication skills
Strong organizational skills with demonstrated proficiency in MS Office, online databases, Human Resource Information Systems (HRIS), social media, and other online tools
Flexibility/willingness to be interrupted and to handle multiple tasks simultaneously
Approachable with excellent people skills
Demonstrated understanding and commitment to anti-oppression principles; ability to relate and build relationships with diverse constituency, staff and partners
Cross-cultural experience a plus
Strong English language proficiency. Proficiency in Spanish or another language a plus
Willingness and available to work outside of regular working hours during peak travel seasons (February/July/August) or when emergencies requiring urgent travel arise

Tasks Relating to IVEP Program:
1. Enter new participant, host and partner info into database
2. Assist with visa applications (e.g. data entry) in the fall and spring
3. Assist with mailings to participants, hosts and sponsors throughout the year
4. Make sure IVEP participants are enrolled and terminated from medical insurance
5. Ensure that all parts of MCC have necessary IVEP info before they start (i.e. Financial Services, Donor Relations, etc)

Tasks Relating to SALT Program:
1. Communicate financial/fundraising information to SALT program participants

Tasks Relating to Travel:
1. Coordinate domestic and international air travel arrangements for department staff and IVEP, SALT and YAMEN program participants
2. Complete airport trip or public transportation requests to and from Akron
3. Provide back-up travel duties when the AA who works with travel is out of the office or busy

Tasks Relating to GSL:
1. Help prepare supplies, materials and logistics for orientation, mid-year, year-end and re-entry conferences
2. Co-Produce GSL Newsletter several times a year
3. Keep Connecting Peoples contact information current
4. Create online registration forms for learning tours
5. Create and update GSL participant email databases
6. Maintain and update GSL program statistics
7. Track and project dates for conferences
8. Courier packages with visa information to international offices
9. Actively participate in GSL department meetings and retreats
10. Other duties as assigned
