The Finance Administrative and Project Management Assistant is responsible for providing administrative, logistical, and project management support to the Finance department. Primary responsibilities for this role include calendar management for departmental meetings, assisting with travel booking and logistics for team retreats and meetings, and providing general administrative support and project management for the Finance department.

RESPONSIBILITIES
- Promote and fulfill the mission and vision of HOPE International
Administrative & Logistical Support
- Manage and schedule department-wide and sub-team meetings
- Develop agendas, take notes, and send follow up emails for team meetings
- Provide administrative support by assisting with scheduling, communications, and supporting the administrative needs of the team
- Support the team leads in fostering team culture, including helping to coordinate team gatherings and retreats, and other opportunities for culture building
- Assist with setting and tracking progress against month-end close dates
- Maintain Standard Operating Procedures documents
- Track and communicate team absences – update vacation/travel calendar and vacation coverage log
Team Travel Support
- Assist in arranging travel and obtaining visas for members of the team as needed
- Provide support for team travel logistics, liaising with HOPE’s travel agents as needed
Event Planning
- Organize the annual finance department retreat, as well as annual SG/MFI finance staff retreats; manage planning teams to track progress in all areas of the event (content, facilities, travel arrangements, etc.) to ensure deadlines are met; lead planning and content team meetings as needed
Project Management Support
- Manage and support major projects within the finance department, including system innovation and improvement, finance manual updates, systemization of training resources, strategic planning, and audit preparation
- Manage the Finance Team’s projects and lists in Wrike (PM software)

- Excellent attention to detail
- Excellent interpersonal and cross-cultural communication skills
- Detail-orientation and aptitude for creating and improving processes
- Microsoft Office computer proficiency, with an emphasis in Microsoft Word, Outlook, PowerPoint and Excel
- Experience managing calendars, schedules, or assisting individuals, strongly preferred
- Familiarity with international development, finance, or accounting, preferred
- High school diploma required; Associates or Bachelor’s degree preferred
